Privacy Policy

Last updated: August 30, 2026

This Privacy Policy explains how Jincove LLC ("Jincove", "we", "us", or "our"), the company that operates cove1 (the "Service"), collects, uses, discloses, and protects information in connection with our website at cove1.com, our cloud service, and related applications (together, the "Service").

By using the Service you agree to this Policy. If you do not agree, please do not use the Service.

1. Who we are

Jincove LLC is a limited liability company organized in the State of Wyoming, United States.

  • Company: Jincove LLC
  • Address: 30 N Gould St, Ste N, Sheridan, WY 82801, USA
  • Contact / privacy requests: gan@jincove.com

For personal data of individuals in the EEA, UK, or similar jurisdictions, Jincove LLC is the "controller" of the personal data described in the section "Information we collect as a controller" and a "processor" for the Service Data described in the section "Customer Data (processor role)".

2. The two roles we play

  • As a controller — for information about our website visitors, account holders, and billing contacts, we decide how and why that information is processed.
  • As a processor — when a business customer uses cove1 to run support agents, the conversations, contacts, knowledge-base content, and other end-user data that flow through the Service ("Customer Data") are controlled by that business customer. We process Customer Data only to provide the Service, under our customer's instructions and our Terms of Service and Data Processing Addendum.

3. Information we collect as a controller

  • Account information — name, email address, company name, and credentials when you register.
  • Billing information — plan, billing contact, and transaction records. Card and bank details are collected and processed by our payment processor (Stripe); we do not store full payment-card numbers.
  • Usage and technical data — IP address, device and browser type, pages viewed, referring URLs, timestamps, and diagnostic logs.
  • Cookies and similar technologies — see our Cookie Policy.
  • Communications — messages you send to us (e.g., support requests, demo requests, sales inquiries).

4. How we use information

We use the information above to:

  • provide, operate, secure, and improve the Service;
  • create and manage accounts and authenticate users;
  • process payments, subscriptions, invoices, and taxes;
  • respond to inquiries and provide customer support;
  • send administrative and, where permitted, marketing communications (you can opt out at any time);
  • monitor for fraud, abuse, and security incidents; and
  • comply with legal obligations and enforce our agreements.

Legal bases (GDPR/UK GDPR). Where applicable, we rely on: performance of a contract (to provide the Service and billing); legitimate interests (to secure and improve the Service and for direct marketing to businesses); consent (for non-essential cookies and certain communications, which you may withdraw); and compliance with legal obligations.

5. AI processing

cove1 uses large language models and retrieval to generate responses. When Customer Data is processed to produce a reply, it may be sent to the model provider configured for that deployment (for example, an OpenAI-compatible provider such as DeepSeek). We do not use Customer Data to train foundation models, and we contractually require our model sub-processors not to train on Customer Data, except where a customer explicitly enables such a feature. AI output can be inaccurate; the Service is designed to cite sources and escalate to a human when confidence is low.

6. How we share information

We share information only as described here:

  • Sub-processors — vendors that host, secure, and support the Service (hosting, payments, email, analytics, model inference). See our Sub-processors list. On our website we use Google Analytics 4 (Google) and PostHog (PostHog, Inc., United States) for product analytics; PostHog also records masked session replays. In the EU, EEA, UK and Switzerland these load only with your consent through our cookie banner; elsewhere they are on by default and you can turn them off at any time. See our Cookie Policy for details and how to turn them off.
  • Payment processing — Stripe processes payments; its handling of your data is governed by Stripe's privacy policy.
  • Legal and safety — to comply with law, respond to lawful requests, enforce our terms, or protect the rights, property, and safety of Jincove, our users, or others.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.

We do not sell personal information, and we do not "share" it for cross-context behavioral advertising as those terms are defined under U.S. state privacy laws.

7. International transfers

We are based in the United States and may process information in the U.S. and other countries. Where we transfer personal data out of the EEA, UK, or Switzerland, we use appropriate safeguards such as the European Commission's Standard Contractual Clauses. For deployments serving users in China, customers may opt for a dedicated in-region deployment or select an in-region model provider so that conversation data does not leave the relevant jurisdiction; where cove1 acts as a processor, cross-border transfers are handled under the customer's instructions and applicable law (including PIPL).

8. Data retention

We retain personal data for as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce agreements. Customer Data is retained under the customer's configuration and is deleted or returned after termination as described in our Terms and Data Processing Addendum. Customer-managed deployments store data on infrastructure designated by the customer and are subject to the customer's retention settings.

9. Security

We use administrative, technical, and organizational measures designed to protect information, including encryption in transit, access controls, and least-privilege practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your rights

Depending on where you live, you may have rights to access, correct, delete, port, or restrict the processing of your personal data, to object to certain processing, and to withdraw consent. Under U.S. state laws (such as the CCPA/CPRA), you may have rights to know, delete, correct, and to opt out of sale/sharing (we do not sell or share as defined). Under PIPL, individuals in China have rights to access, correct, delete, and withdraw consent.

To exercise any right, email gan@jincove.com. We will verify your request and respond within the time required by applicable law. You may also lodge a complaint with your local supervisory authority. If your data is processed by cove1 on behalf of a business customer, please direct your request to that business (the controller); we will assist them as required.

11. Cookies

We use cookies and similar technologies as described in our Cookie Policy.

12. Children

The Service is intended for businesses and is not directed to children. We do not knowingly collect personal data from children under 16. If you believe a child has provided us personal data, contact us and we will delete it.

13. Third-party links

The Service may link to third-party sites and services that we do not control. This Policy does not apply to them; please review their privacy notices.

14. Dedicated and customer-managed deployments

Where cove1 is delivered as a dedicated or customer-managed deployment, your conversation data and knowledge base remain within the environment agreed for that deployment. In customer-managed environments, Jincove does not access or process that data except where you separately request support and provide access.

15. Changes to this Policy

We may update this Policy from time to time. We will post the updated version here with a new "Last updated" date and, for material changes, provide additional notice where required.
